Terms and Conditions
1. Introduction
1.1 These Terms and Conditions apply to all bookings, attendance, and participation in any classes, workshops, holiday clubs, events, or activities delivered by Junior Design Club (“we”, “us”, “our”). By making a booking or attending any session, you confirm that you have read, understood, and agree to be bound by these terms.
1.2 These Terms should be read alongside our Safeguarding Policy, Privacy Policy, and any additional guidance provided at the time of booking.
1.3 We may update or amend these Terms and Conditions at any time. The most current version will always be available on our website, and continued use of our services constitutes acceptance of any updates. It is your responsibility to review these Terms periodically.
2. Our Values and General Principles
2.1 Junior Design Club is committed to providing creative learning environments where children feel safe, supported, and inspired.
2.2 We believe creativity should be accessible to all children, regardless of background, identity, ability, or prior experience. We aim to create inclusive sessions that encourage confidence, curiosity, and self-expression.
2.3 We operate a zero-tolerance approach to discrimination, bullying, harassment, or exclusion of any kind. All participants, staff, and families are expected to behave respectfully and in line with these values.
2.4 Safeguarding children is our highest priority. We follow UK safeguarding guidance and ensure that appropriate procedures are in place across all sessions.
3. Bookings and Registration
3.1 All bookings must be made through the Junior Design Club website or directly by contacting Emily at emily.thejuniordesignclub@outlook.com.
3.2 When making a booking, you agree to provide accurate, current, and complete information, including participant details, contact information, and any relevant medical or support needs.
3.3 By completing a booking, you confirm that you have read and accepted these Terms and Conditions.
3.4 A booking is only confirmed once full payment has been received. Until payment is completed, the place remains unreserved and may be allocated to another participant.
3.5 Spaces are allocated on a first-come, first-served basis. Where sessions are full, a waiting list may be used and families will be contacted if spaces become available.
3.6 If a participant withdraws after booking confirmation, fees may be retained depending on timing, notice given, and circumstances, including illness or absence.
3.7 If you choose to pay a deposit, payment must be completed and recieved in full prior to the first day of the club.
4. Cancellations, Rebooking and Term Structure
4.1 Where sessions operate on a termly or subscription basis, payments are taken in advance according to the agreed schedule.
4.2 If joining partway through a term or billing period, fees will be adjusted to reflect the remaining sessions or attendance period.
4.3 Some courses may require a minimum commitment, usually one full term or the remainder of a term for new starters.
4.4 Unless written notice is provided at least 30 days before the start of the next term or billing cycle, enrolment may automatically continue into the following term.
4.5 Where insufficient notice is given, standard cancellation or continuation fees may apply as set out at the time of booking.
4.6 All our clubs require a minimum amount of sign ups in order to run, this is to cover our operating fees. In the incident that we do not have enough bookings to proceed with the club, we reserve the right to transfer your booking to an alternative date or later term.
5. Payment Terms
5.1 Payment must be made in full and in advance unless otherwise agreed in writing.
5.2 A child’s place is not guaranteed until payment has been received.
5.3 We reserve the right to cancel or release unpaid bookings without notice if payment deadlines are not met.
5.4 In cases of instalment or subscription payments, all agreed payment terms must be maintained in order to continue attending sessions.
6. Attendance, Arrival and Collection
6.1 Children are registered at the beginning and end of each session. Parents or carers are responsible for ensuring correct sign-in and sign-out procedures are followed.
6.2 Parents and carers remain responsible for children until they are formally signed into a session and immediately after sign-out.
6.3 For safeguarding reasons, parents and carers are not generally permitted to remain in sessions unless specifically invited (e.g. trials, open sessions, or agreed circumstances).
6.4 If a child is permitted to arrive or leave independently, written permission must be provided in advance.
6.5 Children should not arrive more than five minutes before the start of a session and must be collected promptly at the end. We cannot provide supervision outside scheduled session times.
6.6 Late collection may incur additional charges or result in future booking restrictions if persistent.
7. Programme Changes and Operational Flexibility
7.1 Junior Design Club reserves the right to modify class content, structure, staffing, venues, or schedules where necessary.
7.2 We aim to deliver all advertised sessions, but changes may occasionally be required due to circumstances beyond our control.
7.3 If a class must be cancelled, families will be notified as soon as possible and may be offered alternative materials, rescheduled sessions, or appropriate replacements where available.
8. Personal Belongings and Equipment
8.1 All personal belongings remain the responsibility of the participant. We cannot accept liability for loss, damage, or theft.
8.2 Participants are advised not to bring valuable or sentimental items to sessions.
8.3 As creative activities may involve paint, glue, ink, and other materials, participants should wear suitable clothing or protective garments such as aprons or art smocks.
9. Food, Drink and Allergies
9.1 Participants may bring snacks, drinks, and where applicable, lunch (for example during holiday clubs), unless otherwise specified.
9.2 All items must be clearly labelled with the child’s name.
9.3 Junior Design Club operates in consideration of children with allergies. Certain ingredients, including nuts, may not be permitted on site.
9.4 It is the responsibility of parents and carers to inform us of any allergies or dietary requirements at the time of booking.
10. Health, Medical Needs and Safety
10.1 Participation in activities is at the parent or carer’s discretion. All relevant medical conditions, allergies, behavioural needs, or additional support requirements must be disclosed at the time of booking.
10.2 Any medication brought to sessions must be clearly labelled. Where appropriate, children should be able to self-administer medication unless otherwise agreed in writing.
10.3 Emergency contact details must be kept up to date at all times. It is the responsibility of parents or carers to ensure this information remains accurate.
10.4 In the event of illness, injury, or emergency, we will contact the emergency contact provided. If necessary, we may seek medical assistance.
11. Safeguarding and Child Protection
11.1 Junior Design Club is committed to safeguarding and promoting the welfare of children at all times.
11.2 All staff follow safeguarding procedures and appropriate checks, including enhanced DBS checks where required.
11.3 We operate clear safeguarding reporting procedures and work in line with UK safeguarding legislation.
11.4 Any safeguarding concerns will be taken seriously and acted upon appropriately, including escalation to relevant authorities where necessary.
12. Inclusion and Equal Opportunities
12.1 Junior Design Club is committed to inclusive practice and welcomes children of all backgrounds, abilities, identities, and experiences.
12.2 We aim to ensure all children feel valued, respected, and supported in their creative development.
12.3 We may make reasonable adjustments where possible to support participation and accessibility.
12.4 We do not tolerate discrimination, bullying, exclusion, or offensive behaviour in any form. Any such behaviour may result in removal from sessions.
13. Photography and Media
13.1 We may take photographs or video recordings during sessions for use in promotional materials, social media, website content, and printed publications.
13.2 These images are used to showcase activities and celebrate creative learning.
13.3 If you do not wish your child to be included in photographs or media, you must inform us at the time of booking or in writing prior to attendance.
14. Behaviour Expectations
14.1 We expect all participants to behave respectfully towards staff, peers, and equipment.
14.2 Behaviour that is disruptive, unsafe, discriminatory, or abusive will not be tolerated.
14.3 If inappropriate behaviour occurs, a warning may be given. If behaviour continues, the participant may be removed from the session and parents or carers contacted.
15. Liability and Insurance
15.1 Junior Design Club holds appropriate public liability insurance for its activities.
15.2 We are not liable for personal injury, loss, or damage unless caused by our negligence.
15.3 Parents and carers are responsible for ensuring appropriate insurance or cover where required.
16. Data Protection and Privacy
16.1 We collect and process personal data solely for the purpose of managing bookings, delivering services, communication, and safeguarding responsibilities.
16.2 All data is handled in accordance with UK data protection legislation, including GDPR.
16.3 We do not sell or share personal data for marketing purposes outside of our service providers.
17. Intellectual Property
17.1 All teaching materials, creative content, branding, and resources provided by Junior Design Club remain the intellectual property of the organisation.
17.2 These materials must not be copied, shared, reproduced, or distributed without written permission.
18. Feedback and Complaints
18.1 We welcome feedback as it helps us improve our services.
18.2 Any concerns should be raised directly with us so they can be addressed promptly and fairly.
19. Governing Law
19.1 These Terms and Conditions are governed by the laws of England and Wales.
19.2 Any disputes will fall under the jurisdiction of the courts of England and Wales.
